About the Vendor Letter Template

The vendor letter template is designed to inform your vendors about the state’s compliance requirements. The template language can be copied and adjusted to your organization’s needs. Sections in brackets are designed for you to update with your own information and this template can be edited for your organization’s specific needs.

On June 30, 2021, Colorado HB21-1110 strengthened the Colorado law for protection against discrimination against persons with disabilities; specifically, it requires the accessibility of all digital government information technology. To comply, all digital experiences provided by the [insert your organization] must meet all applicable Level A and AA success criteria of the current non-draft version of the Web Content Accessibility Guidelines (WCAG).   

Therefore, in order to comply with Colorado law, we are informing you that [product name] must meet these WCAG guidelines by July 1, 2024. To confirm compliance, functional accessibility evaluations or manual testing evaluations for [product name] should be performed by your company’s experienced internal accessibility team or a certified third-party testing firm at least [cadence such as once per year and/or for every version upgrade] with the evaluation results to be provided to the [insert your organization] within [x number of days] after testing. Please note that the testing results can be provided in the form of a manual testing report or accessibility compliance report such as a completed Voluntary Product Accessibility Template (VPAT). If the [product name] cannot meet these compliance standards or you cannot provide these evaluations, the [insert your organization], at its sole discretion, may terminate any contract between the parties without recourse to obtain legally compliant platforms.     

By receiving this letter, [company name providing the product] hereby certifies that it will meet Colorado’s statutory compliance requirements no later than July 1, 2024. In so certifying, [company name providing the product] acknowledges and agrees that [product name] will ensure compliance in testing, maintaining, and updating the product, and will swiftly resolve and remediate all accessibility issues discovered while the [insert your organization] utilizes [product name].
